UPDATE: June 9, 2016 meeting of Write Place, Write Time

Tonight's meeting of the NIU Thesis office sponsored writing group -- Write Place, Write Time -- has been postponed. We will not be able to meet this evening (Thursday, June 9, 2016) due to abridged library hours during the interim between the end of the Spring 2016 semester and the official start of the Summer 2016 semester.


Tonight's writing group has been rescheduled for Thursday, June 16, 2016. As per usual, we will meet in Founders Library from 6pm to 9pm in room 454.

The July 14, 2016 meeting of Write Place, Write Time will meet as regularly scheduled.

Reviews of Guidebooks on the Topic of Oral Defense

Today, I’d like to follow up on our last post, “The Defense Rests.” After reading Mike’s July 9 post, I felt better about the oral defense that many of us will face (or have faced). Yet I was left with a question: Mike mentioned that all committee members of the defense he observed had paper copies of the student’s dissertation. Since our office only requires students to bring one paper copy to Adams Hall Room 223 (three weeks in advance of oral defense date for the “outside” reader), were the paper copies Mike noted provided to the committee by the defending student? I would guess “yes,” but I also started wondering, what other preparatory tasks exist that we "defenders" might wish to know about?



To find out, I did some research. Below, I’ve summarized what a few of the books we keep around The Thesis Office say on the matter of the oral defense. *Note: most of what follows applies for doctoral students--unless your master's thesis requires an oral defense.

Theses and Dissertations: A Guide to Planning, Research, and Writing by R. Murray Thomas and Dale L. Brubaker (Bergin & Garvey, 2000 ). 


This book is geared towards students in the “social and behavioral sciences” (Preface), but its chapter on the oral defense could help any presenter. The authors devote 7 of 277 pages to the defense, which may sound short but is actually one of the longer treatments. Thomas and Brubaker begin by pointing out that the oral defense is usually the “penultimate” (257) step to graduation, mentioning that students might still have revisions after the defense, as Mike also explains in his post. The book then delineates “7 cases of concern” for defenders, including issues of study validity and significance; candidates' and advisors’ roles; objections; “committee member debates”; and “inadequate proofreading” (Thomas and Brubaker 257).

The authors then go through each of the above topics in Q&A format, mimicking how an advisor would respond to student questions. The following points sum up the chapter:

              ·  2 and 1/2 pages devoted to validity issues, aimed for defense of qualitative studies
              ·  Preparation for the question, “What does it mean?”
o   offer your take on the different types of “meaning”
o   state which applies to your study (260)
              · Preparation for other situations, including the “intrusive advisor” (261)
o   don’t worry if committee members seem inattentive
o   keep quiet when committee members debate
o   generally, “answer … questions precisely and concisely, and then STOP” (263)


Finally, the authors mention that many students don’t believe that “spelling, grammar, and format” are of main concern, but they note that faculty members are in the “business” of “fostering responsible scholarship” (Thomas and Brubaker 263). The authors caution students to proofread thoroughly before the oral defense to avoid additional revisions.


Surviving Your Dissertation: A Comprehensive Guide to Content and Process by Kjell Erik Rudestam and Rae. R. Newton (3rd ed., Sage Publications, Inc., 2007


Another book for graduate students in the social sciences--this one has a positive feel with several examples of tables and figures for students. However, Rudestam and Newton devote only about 2 and 1/2 pages to “Dissertation Orals” (218). They frame the experience as a range from a “congenial ritual … to a more excruciating examination … by an unsympathetic faculty committee” (218). But Rudestam and Newton say, “You can make a number of reasonable preparations to make the experience a positive one” (218).

         Their biggest advice: 1) Know your study and 2) Take control

For example, Rudestam and Newton describe a candidate who arrived at her defense early, rearranged the furniture to her liking, and greeted the committee members as they arrived, as if she “had invited them to an event she was hosting” (219). The book then describes the typical oral defense format, which matches Mike’s experience fairly closely. The authors mention a possible “let down” after the event but hope students will view the defense as a “transformative experience” (Rudestam and Newton 220).


         The Portable Dissertation Advisor by Miles T. Bryant (Corwin Press, 2004


Bryant takes a “pragmatic” (xi) approach in this text, gleaned from his years of working with graduate students. He aims his book more towards the part time or “nontraditional” doctoral student (ix). He, too, devotes approximately 2 and 1/2 pages (of 150) specifically to the defense.

Bryant’s defense section starts with an Oscar Wilde quote:

          “The play was a great success, but the audience was a disaster.” 

Funny guy, that Oscar Wilde. And good choice of opening for Bryant because this quotation encapsulates the scary vibe of oral defenses: the audience, i.e., your committee; how will they be?

However, Bryant reassures that the majority of defenders pass, and here are his main pieces of advice:
o   Have a “plausible answer for every question asked” (140)
o   Speak with confidence and clarity

Bryant then mentions scheduling and room arrangement issues (may or may not be student’s responsibility) as well as reminds to set up and check technology ahead of time. Done! 

Finally, we have another book called Destination Dissertation: A Traveler’s Guide to a Done Dissertation by Sonja K. Foss and William Waters (Rowman & Littlefield Publishers, Inc., 2007 ). This is one of my favorite dissertation guides, and its chapter on the oral defense is like a 14-page How-to (book has 359 total pages). As this post is quite long already, I'll just note that the authors confirm most of what I’ve already reported and what Mike found in his experience, but they also give several example responses, and they list several ways to work with your main advisor and practice for the event. Book Review: Writing the Doctoral Dissertation

At the beginning of any dissertation journey, both the journey and its destination seem hazy and amorphous. As the years of coursework rolled by, I had felt as if the diss was a huge, distant thing on the horizon that was painfully, slowly coming into view. It started to take a shape, and it became more and more real as I could see it looming there. But when I found myself close up, at the end of coursework, at the top of the field exam climb, I realized it wasn't a thing at the top of that mountain. I looked out across another chasm instead, with no clearer image of what the diss really was than before all my hard work.


Enough of that! I won't deny that this poetic sort of thinking about dissertating can be helpful, and is my usual mode as an English major. But especially as a disorganized English major, and as anyone in any discipline who has ever had trouble seeing the clear shape and scope of a project, I needed help thinking practically. I needed help making a plan. There are so many good books on the market, but many of them are titled in metaphorical language, some inspiring, some terrifying: Survival Guide! One of the books in our office has a cover image of a stormy sea with a flimsy lifesaver floating on it.  No thanks.  My dissertation is not the Titanic.

In Writing the Doctoral Dissertation: A Systematic Approach, the dissertation is not characterized as a "quest" or a "trial by fire" or anything other than what it is. It's a writing project! The book turns the diss into a procedure, like any other.  A procedure with linear steps (some cyclical ones too), with deadlines, and with clear goals. Gone are the musings about "demystifying" the "journey" or some other useless crap that a person in the throes of drafting could have thought of themselves.  If what you need is a clear, disinterested voice, untinged by commiseration or by condescension, to say to you "DO EXACTLY THIS"... then this is the book you should read.

Also, this book is fairly new, like of-this-decade new.  Its authors know about current trends in scholarship in various fields, alternative sorts of dissertations, and contemporary expectations for research in an age of globally accessible information and project collaborations.

In my youth I was always the straight-through writer, never an outliner. In grad school I began to see the purpose of having a structure and some goal-points in mind before beginning a project. But I never put that to use beyond the twenty or so pages required for my term papers.  Assorted piles of papers with color coded post-it notes were enough semi-organization to get me through. But now, as I face this new ~200 page project (journey, chasm, abyss, whatever you want to call it), this book has me obsessed with the checklist, the calendar, the breakdown, and even the "budget" of the dissertation.  In a very good way.

Being a Non-traditional Student

To my surprise, many years ago I was accepted into the doctoral program in the English department. I am what is called a non-traditional student. This means that I have a couple of gap years between undergraduate and graduate school. Also, it means that I am a lot older than many of my classmates.

When I first started, my biggest concern was that I hadn't set foot in a classroom as a student in a long time. Would my experience out of school be an asset or a liability? Would I be able to balance school and work, much less school and my responsibilities as a father?
Once I overcame this initial discomfort, I had the idea that I would double my workload and finish my doctorate in five years. And why not? All I had to do was:

  1. Pass my course work
  2. Teach a few classes
  3. Fulfill my language requirement by showing proficiency in two foreign languages
  4. Pass two field exams
  5. Choose a dissertation topic
  6. Put together a dissertation committee
  7. Write and defend a prospectus
  8. Research and write my dissertation
  9. Defend my dissertation and, finally,
  10. Submit my dissertation
Along the way I realized that it might be helpful to earn some money so that I could pay some bills, put dinner on the table, put clothes on my daughters’ backs, and start working off my school loans. This meant that I had to work. Many non-traditional students have families and full-time jobs while completing their degrees.

But then I found myself spending less and less time on my dissertation. I had to make lesson plans, unit plans, help review textbook selections, attend staff meetings, hold conferences with students, read and grade essays, and spend a lot of time in my car driving from job to job. I kept to a schedule. But you know what doesn’t keep to a schedule? Kids. I was responsible for raising two daughters, in addition to my teaching load, and attending night classes.

Somewhere along the way, my five-year plan turned into a six-year plan, and then a seven-year plan. At this point, I don’t even want to think about how long I’ve been working on my dissertation.

In March of 2008, the Ph.D. Completion Project published a report by Robert Sowell (click here to review his data) in which he revealed that of the students who successfully completed their degrees: 57% of graduate students took at least ten years to finish their doctorate; 49% of which were earning their degree in the humanities; and 47% of them were male. So, according to the data, the odds are in my favor. On the other hand, the data for the attrition rates was rather disheartening: 31% of students dropped out after ten years; 32% of which were studying the humanities.  (If you are interested in reading about the reasons behind doctoral student attrition, check out the following article by Melonie Fullick: “War of Attrition – Asking Why PhD Students Leave”).

Reviewing this data made me wonder: What is the key ingredient that makes all the difference between failure and success for doctoral students?

Thus far, research indicates only one thing: support. Support from your professors; support from your classmates; support from your writing group; support from your committee chair; and support from your department. I would add: support from your boss (if you are employed while working on your graduate degree); support from your partner/spouse; and support from your family. Graduate students – especially, non-traditional graduate students – need support.

A Word from the Ruler Lady: Carolyn Law

It was not so long ago that the mythic figure of the fierce Ruler Lady loomed large in grad school folklore. She lurked in graduate schools across the land, measuring the margins of theses and dissertations with uncanny (some say even preternatural) precision. She could stop the hearts of suppliant thesis and dissertation writers with a single wave of her terrible sword. I mean ruler. The unluckiest ones could expect to be sent away, trembling, to retype—literally, like on a typewriter—whole pages of their precious documents, in triplicate and on expensive cotton-bond paper.

Like all urban legends, there is perhaps a kernel of truth in the basic story, but over time such tales grow to incredible proportions and soon spiral out far beyond the bounds of reality.

I am the Ruler Lady at NIU, but I’m really not very fierce. And I do not use a ruler anymore, although I must admit that for many years I did. In fact, quite a lot has changed in the Thesis Office at NIU since I started out as Thesis and Dissertation Advisor in 1996. For one thing, theses and dissertations are born digital these days and thus the post-defense submission, review, and approval process is entirely electronic now. Other more recent changes in the Thesis Office, however, aren’t so much technological as programmatic.



Starting this Fall 2015, the Thesis Office is delighted to offer a full menu of targeted workshops to assist thesis and dissertation writers in all departments of the university to meet the specific Graduate School format requirements and general standards of quality for academic writing. My hope is that by meeting with students before they defend, answering their individual questions as they arise during composition, I can smooth out the sometimes bumpy road to final approval. For example: I just turned in the latest draft of chapter four of my dissertation. It was the fourth rewrite of the chapter. Do not get me wrong - with every tweak, alteration, subtle adjustment of my language, argument, organization, etc. I know the quality of my monograph improves.

Here's the problem: my eyes have begun to glaze over with all of the re-writing that I have been doing. I have devoted more time -- or at least, it feels like I have -- to re-writing and re-organizing my dissertation than actually researching and writing the original draft. I made so many changes to one of my chapters that I completely forgot my thesis for the entire dissertation. I started to wonder: Did my thinking change about the topic? Or did comments from my committee steer me in a completely different direction? (It was both)

I started doubting myself. I fell under the spell of the impostor syndrome (see blog entry from March 9, 2015). Based on all of the comments that I was receiving, I started to question whether or not I was a qualified academic. Where was all of this marginalia on essays I wrote for my graduate level courses? I always thought that I was a halfway decent writer. Was I delusional to think this? Why was I having so much trouble writing my dissertation? It got so bad that I even started to consider dropping out of the program. Why had the department not offered an one hour seminar on the theory behind organizing and writing a dissertation?

All writing is rewriting. I know this. I am in English Lit. I teach composition. Every semester I tell my students this basic fact about writing. Still . . .

When I first wrote my prospectus, I was tasked with designing a calendar of due dates for the rough draft of each chapter. In addition to this, it was recommended that I incorporate potential due dates for revisions. I was told to figure four to six weeks to write each original draft, and then plan two weeks for each revised draft. Needless to say, this calendar was thrown out. My experience for the past couple of years has been to write a chapter, and then rewrite and rewrite and rewrite and rewrite that chapter. I do not move to the next part of my monograph until after having composed a "finished" draft of a chapter -- this alteration in my writing and revising schedule became necessary as each chapter builds on the argument of the preceding chapter. Still, all of the revisions are driving me insane. Even now, with one chapter remaining, I am writing and rewriting, and I have deadlines looming over me that I am scared that I will not meet because I expect to hear my director say, "You need to do another daft." It is as if this phrase has become obligatory every time we meet. What's more is that even though a draft has been deemed "final" by my director, I still have to submit the work to the other members of my committee who may or may not -- let's be honest, they will -- have comments about how the work can be upgraded. Oh joy . . . another round of rewrites.

Just last night I was sitting in Founder's in the dissertation room on the fourth floor taking part in Write Place, Write Now -- the office's writing group for NIU graduate students working on their thesis or dissertation. For two and a half hours I worked on yet another rewrite of an earlier chapter, previously deemed "finished." At some point, I realized that my prose was getting stronger, my thinking about my topic was clearer, and I came across a random sentence that I completely forgot about, yet as it turns out the phrase supports a vital claim that I make in a later chapter.

Here's the thing: I never would have realized this had I not been compelled to perform all of these revisions. For a few minutes, I thought myself rather smart. I've since made a note to myself to highlight this point in my work, thus prompting . . . another round of rewrites.

The History of the Dissertation in Academia

Since I am in the beginning stages of writing a dissertation, I began to wonder... WHY???  And I'm sure you all wonder this at some point.  I looked into the history of the dissertation and didn't find much of interest, until I came upon an old, stale article (does anybody remember 1998?) by Gary Olson and Julie Drew.  It's an interesting read, despite its staleness -- because of its mission.  The authors' need to go into the history of the dissertation is driven by their urge to protect the scholarly and professional status of the dissertation -- to keep universities and faculty alike from downgrading these documents, which are no longer necessarily published or even publishable, to grey literature, second-rate student exercises in a discipline. If that's all it is, then why do it, right?  Academia is so bad we might as well all go ABD!


The History

But wait -- we are working in an enterprise with a short but significant life.  Here is a brief look:


The dissertation is a relatively new rite of passage in the history of academia. When medieval and Renaissance scholars took academic titles, they didn't dissertate to get there. And when some of the most highly educated scholars and writers of the Early Modern Period finished their schooling, they didn't take the title "Doctor". (Unless maybe they were a Doctor of Physick and liked attaching leeches to people!)

The dissertation has its origins in 18th and 19th century Europe, particularly in Germany. Herr Doktors were the first scholars to have to not only write but publish a dissertation in order to have their degree conferred. This guaranteed that the junior scholars, in whom the senior scholars had invested so much time, would produce new knowledge, a contribution. The first American University to grant PhD's followed this format, and by 1861 our own Yale had produced the first three American Doctors of Philosophy, who had all published short but sweet dissertations (Olson 57). (One was six pages long!)

It was this migration of the dissertation to America, combined with what one of my professors calls "the reading machine" (i.e. capitalism-fueled publishing and the consumption of such), that led to the establishment of the university press (Olson 58).  We had to find a way to print all those books!

Then, with PhDs increasing every year, it eventually became impractical to publish the "diss," (that's what we call it in the biz...), and the requirement to publish fell off by the 1930s (Olson 58).  Since then, we have moved to microfilm, a single bound copy in the library, and eventually, all electronic dissertations that have probably never been printed on paper in their final form. (Unless the proud new Doctor pays about fifty bucks to get a vanity-bound personal copy).  So, what was once a scholar's first real book, a first real contribution to the field, became more like a hoop to jump through.  A big, flaming hoop.

What do we do?

So how do we reclaim our diss? How do we make the diss a scholarly foray into a real academic conversation, rather than a closed-course driving test? Is it about attitude?  Maybe it's about our advisors and their attitude toward the project (Olson suggests as much). Maybe the answer is to think of the diss as something in between a first solo flight and a final flight simulation test. But the difference between those things is huge. The difference between those things can cost us a job. How do we describe our flying to a potential employer, if we don't even believe that we've ever really left the ground?

Well, I don't really know yet. I'll tell you when I figure it out. But no matter how I feel about the result, you can bet I'm going to order one of those fifty dollar cloth-bound copies for my tiny office.
